AI Policy

Last updated: 17 October 2026

This page summarises how Studio Rav uses artificial intelligence (AI) in our work. It is based on our internal AI Acceptable Use Policy (version 1.0, effective 30 June 2026), which is reviewed every six months.

1. Our approach

Studio Rav may use approved AI tools to support drafting, research, design, image and video enhancement, coding, administration, and productivity tasks. AI is used as a support tool only. Human review remains a core part of our process.

We encourage sensible, creative use of AI because, used well, it helps us work faster and to a higher standard. We also take the risks seriously, including risks to privacy, confidentiality, accuracy, intellectual property and client trust.

2. Where we use AI

We use AI for low-risk, day-to-day work such as:

•

Drafting and proofreading emails, copy and documents

•

Research using publicly available information

•

Summarising documents and meeting notes

•

Design, image and video enhancement

•

Coding support and workflow testing

•

Administration and productivity tasks

3. Human review always comes first

AI can produce confident but incorrect output. Everyone at Studio Rav remains personally responsible for any work they send, publish, deploy or rely on.

•

We review AI-assisted work before it is used with clients

•

We independently check facts, figures, quotes and sources

•

We review code before it is deployed

•

We check AI-generated images and video before client use

•

AI is never the final decision-maker where the outcome could significantly affect a real person

4. Your data and confidentiality

We apply strict internal controls on confidentiality, personal data and accuracy. We do not intentionally enter client personal data or confidential client information into public AI tools without appropriate safeguards or prior approval.

•

Client names, contact details and addresses are not entered into AI tools

•

Contracts, complaints, legal documents, passwords and login credentials are never entered into AI tools

•

Where project information is used, anything that could identify a person or client is removed first

•

We assume UK GDPR and wider data protection obligations apply to all of our clients

5. Approved tools only

We only use AI tools that have been approved by Ravi Kaul, our AI contact. We use paid business accounts rather than personal free accounts, and we check privacy and data-training settings before using any tool. Where possible, data training is switched off.

6. What we will not do

•

Use AI to mislead a client or conceal its use where disclosure is appropriate

•

Create deepfakes or impersonate another person

•

Create misleading, discriminatory or harmful content

•

Reproduce third-party protected work without permission

•

Use AI to bypass security systems or our normal review and approval process

7. Transparency and intellectual property

We are open about our use of AI. We will tell you when you ask us directly, and where AI has materially contributed to your work, where AI-generated images or video have been used, or where not telling you could be misleading.

We check AI-generated material for originality and the licence terms of the tool involved before using it commercially. Subject to the terms of any client agreement, work we create belongs to us until it is assigned to you under our Terms and Conditions.

8. Using AI responsibly

Everyone working with Studio Rav, including contractors and freelancers, is expected to follow our AI policy and to receive training on responsible AI use. AI also has an environmental cost, so we only use it where it adds real value.

If something goes wrong, such as data entered into an AI tool by mistake, we report it promptly, put it right and learn from it.

9. Questions or concerns

If you have a question about how we use AI, or a concern about AI-assisted work we have delivered, please contact us. Our AI contact is Ravi Kaul, and we will respond to every enquiry.
